Terms of Service

The rules for using The Trade Base, in plain English.

Last updated 7 Nov 2026

About these terms

These terms are an agreement between your business and The Trade Base. By creating an account you agree to them. If you add staff to your account, you are responsible for them following these terms too.

The Trade Base is for businesses, including sole traders. You must be 18 or over and based in the UK to sign up.

Free trial

You get 30 days free with everything included and no card needed. If you haven't subscribed by the end of the trial, your account is locked until you do. Nothing is deleted, and subscribing opens it straight back up.

Price and payment

  • One plan: £14.99 a month, including VAT. Staff are included free.
  • You pay monthly in advance by card, through Stripe.
  • If we ever change the price we'll email you at least 30 days before it applies, so you can cancel first if you want to.
  • If a payment fails, you'll see a "Payment due" message. We'll try again over the next 7 days. If it still hasn't gone through, your subscription is cancelled and your account is locked.

Cancelling

There's no contract. You can cancel any time from Settings. You keep full access until the end of the month you've paid for, then your account is locked. We don't give refunds for part months.

Locked accounts and your data

When an account is locked you can't use the app, but we keep your data so it's all there if you subscribe again. If you'd rather we deleted everything, email hello@thetradebase.co.uk and we will, apart from billing records we must keep by law.

Everything you put into The Trade Base belongs to you. Our Privacy Policy explains how we look after it.

Your customers

  • You're responsible for the details you add about your customers and for having a good reason to contact them.
  • We only email your customers when you press a button to send something. You're responsible for what you send.
  • Customers see their job through a private link. Only share it with the right person.

Checking your quotes and invoices

The app works out totals, VAT and CIS from the figures you enter, but it's your business, so it's up to you to check your quotes and invoices are right and to deal with your own tax, VAT and CIS. We don't give tax or legal advice.

Using the app fairly

Please don't:

  • use The Trade Base for anything illegal, or to send spam
  • upload anything you don't have the right to share
  • try to get into other people's accounts or break the app
  • share your login with people outside your business (add them as staff instead)

If an account breaks these rules we may suspend or close it. We'll tell you why unless the law stops us.

Keeping the app running

We work hard to keep The Trade Base running and your data backed up, but we can't promise it will never be unavailable, for example during updates. We may add, change or remove features over time, and we'll tell you in advance about any big changes.

Our responsibility

Nothing in these terms limits our responsibility for death or injury caused by our negligence, for fraud, or for anything else the law doesn't let us limit.

Otherwise, we're not responsible for lost profits, lost business or indirect losses, and our total responsibility to you is limited to what you've paid us in the 12 months before the problem happened.

Changes to these terms

If we change these terms we'll update the date at the top and email you about important changes before they apply. If you keep using the app after that, you accept the new terms.

The law

These terms are governed by the law of England and Wales.
